The Files section is for adding existing documents to the assistant’s reference content. Use it for approved guides, policies, support references, product sheets, and similar files.

Supported file types

You can upload these file types:
  • PDF
  • Word documents
  • Plain text files
For PDF files, use documents with selectable text. Scanned image-only PDFs may not provide usable text for the assistant.

Upload a file

  1. Open Reference Documents for the selected domain.
  2. Select Files.
  3. Drag a supported file into the upload area, or choose a file from your device.
  4. Wait for the upload to finish.
  5. Review the uploaded document in the list.
  6. Preview the document before activating it.
  7. Activate the document when it should be used by the assistant.
Uploaded files may be saved as draft first. Keep them as draft until you have reviewed the content.

Google Drive import

If Google Drive is available for your workspace, you can connect a Drive account and import selected files. Use Google Drive import when:
  • Your team already maintains approved documents in Drive.
  • You want to select files instead of uploading them from your device.
  • You need to refresh imported content later.
After importing, review each document in the list and activate only the documents the assistant should use. If the Google Drive option is unavailable or does not connect as expected, ask your workspace owner or support contact for help.

Limits panel

The Files section can show your document usage limits. This helps you understand how much document capacity is currently in use. The limits panel may include:
  • Number of documents used
  • Total document storage used
  • File size limit for uploads
If an upload fails because of a limit, remove unused documents or choose a smaller file.

Document list actions

After a file appears in the document list, you can manage it with the available actions. Common actions include:
  • Preview: review the document text before activation
  • Activate: allow the assistant to use the document
  • Deactivate: keep the document saved but stop using it for answers
  • Delete: remove the document
  • Re-sync: refresh supported Google Drive documents

File quality checklist

Before activating a file, check that:
  1. The file name is clear.
  2. The document text is readable in preview.
  3. The content is current.
  4. The file does not contain private credentials or customer-specific private information.
  5. The document does not conflict with other active documents.
  6. The document is relevant to visitor questions.
